Organizational Context

Reporting to the Associate Admin Officer, the Architect Associate directly handles, with large autonomy, requests related to office space prioritizing them according to the objectives of the Operation and according to the general UNHCR objectives/specifications regarding office space.

Assists the Associate Admin Officer in ensuring that modifications and moves are planned and implemented in a coordinated and satisfactory manner, supervises the execution of office space rearrangements and, when necessary, communicates required guidelines and/or instructions to the Head of Fields Office/Unit. 

Prepares layouts concerning changes in office space configuration for approval and signature of the Supervisor and liaises with all parties involved (technicians, maintenance team, staff members) to ensure that work can be scheduled and appropriate actions taken.

The incumbent works with minimum guidance and approaches the Supervisor in case of specific problems.




Updates the Operations buildings premises floor plans using Computer Assisted Design Software Application (ARCHICAD), in order to keep up with the continuous staff location changes, new office space configurations and building works and/or improvements.

Prepares layout plans in accordance with requests from the Supervisor to modify the work space configuration. These are submitted for approval to the Associate Admin Officer and also used for further consultation and implementation.

Plans and prepares detailed schedule of works to be followed by the Maintenance Team and the Technicians, and to inform the concerned staff on the forthcoming moves, in order to minimise disruptions and to make the best use of space. 

Carries out other architectural designs on ARCHICAD software or by hand, as required by the Associate Admin Officer. 

Handles individual requests regarding work space and holds discussions, meetings and negotiations on office space matters with Associate Administrative Officers and/or Representative/Deputy Representative

Circulates and explains the plans to concerned staff for comment and agreement, offers counselling to staff on individual workplace rearrangements, ensuring that required consultations take place between the concerned parties.

Deals with correspondence related to work space requests or space planning issues in English.

In close liaison with Associate Admin Officer, produces an annual report on office furniture inventory (asset stock holder), collecting data from the aforementioned Archicad office plans and including data provided by the maintenance colleagues as required by the Asset Management Unit and the Board of Auditors.

Performs other duties as required.

The incumbent of the post must work in very autonomic manner. Consequently, misunderstanding and/or misjudgement may lead to a delay in the installation of the concerned Service in the premises, disrupting their work and with further impact on their working conditions and security. It can also compromise the smooth functioning of Offices in the Country. 






Essential Minimum Qualifications and Experience

Completion of the Secondary education with post-secondary certificate/university level courses in Architecture or Interior Design.
Minimum 6 years of previous job experience relevant to the function or related field;
Training and experience in using ARCHICAD (Computer Assisted Design software).
English, spoken and written.
